Klio privacy notice

This notice explains what Klio collects, why it is used, when it leaves Klio, and the controls available to the family account owner.

Information Klio keeps

Klio stores parent account and billing identifiers, family and learner details, curriculum and schedule data, uploaded evidence, conversations, grades, generated material, autonomy settings, approvals, corrections, and audit history. Technical logs may record request timing, errors, device or network details, and security events.

How the information is used

Klio uses this information to operate the family workspace, connect evidence to the right learner and subject, prepare or carry out actions allowed by the family’s autonomy settings, calculate and preserve academic records, provide support, prevent abuse, and meet legal or accounting duties. Klio does not sell family or learner data or use it for targeted advertising.

Private family access

Database and file access are restricted by family membership. Uploaded files are kept in a private storage bucket and are delivered through authenticated, time-limited access rather than public file URLs. Family owners should only invite people who are permitted to see the learners’ records.

AI processing and service providers

When Klio works with evidence, messages, or learner context, the information needed for that request is sent to the configured OpenAI API project. When you explicitly request web research, OpenAI may search public sources for that answer. When you submit a public reference link, Klio retrieves the readable page text and stores it as source evidence; it does not send website credentials or open local or private-network addresses. Supabase hosts authentication, database, and file storage services. Stripe processes subscription and payment details; Klio does not store full card numbers. These providers process information to deliver their services under their own contractual and security obligations.

Autonomy and parent authority

Depending on the family’s autonomy settings, Klio may automatically file work, record facts the parent explicitly supplied, create reminders or practice, and make reversible schedule changes. Klio-inferred grades, major schedule decisions, and changes in curriculum direction stay behind the parent boundaries shown in settings. Source records cannot be silently deleted by the agent.

Voice input

When you use voice input, Klio sends the recording to the configured OpenAI API project immediately after recording stops so it can be transcribed. This happens before you send the resulting editable draft. Klio processes the audio for that request but does not save the recording to your family workspace; the returned text remains in your draft until you choose to send it.

Retention, export, and deletion

The family owner can download one account ZIP containing every database record and uploaded evidence file from every workspace the account currently owns. The owner can also permanently delete the owner account and all of those workspaces in Account & files. Deletion removes those workspace records and files, cancels their active Klio subscriptions, revokes login credentials and sessions, and removes account profile data. Workspaces the person no longer owns remain intact with only an opaque, non-login provenance identifier where record integrity requires it. Limited billing, fraud-prevention, security, or legal records may remain with Klio or its providers where required; they are not used to recreate the account or workspace.

Learner information

Klio is purchased and managed by a parent or other authorized adult for a family homeschool. That adult decides what learner information to add and is responsible for obtaining any permission required from another parent, guardian, school, or learner. Learners should use Klio only under the account owner’s direction.

Your choices

The family owner can correct records in the workspace, change autonomy settings, export every currently owned workspace in one account archive, manage billing, or delete the owner account and all workspaces it still owns. A parent can also stop using voice or AI-assisted features and enter records directly.

Changes and questions

If this notice changes materially, Klio will update the effective date and provide notice in the service when appropriate.
